Thanks for your email reply dated January 31, 2013.
In our email dated January 25, 2013 on our appointments and duties as Returning Officers for the Annual Election of the HKUSU on February 5-8, 2013, we asked you to send us records from the Union Council stating whether our appointments had been confirmed and also a list of duties of Returning Officer by January 30, 2013. According to your email reply on January 31, 2013, it is apparent that so far there is no Union Council approval for appointing us as Returning Officers for the abovementioned Annual Election. We also did not receive any list of duties of Returning Officers to take reference.
Besides, you indicated that we would be informed by February 7, 2013 about the result of a “Union General Polling” relating to appointing us as Returning Officers for the Union Election. However, I would like to point out that when we acted as Returning Officers in the past, we had duties on the first day of the Annual Election such as inspecting the ballot boxes. Your email clearly suggests that we will not be able to perform the role of Returning Officers from day one; i.e. February 5, 2013 of the Annual Election. In view of this, we regret that it is not appropriate for us to take up the duty as Returning Officers previously requested by the HKUSU.
In your email, you also made a request to all University authorities, including CEDARS, about the arrangement of venue bookings. Please note that the University has a set of policies in place and we will follow them until they are changed officially.
